Occasionally, a minor may join an Adult Group that is not designated as a Family Group and is not intended for them. In these instances, we follow strict protocols designed to protect both the minor and all group members. The information below outlines the protocol and the required next steps to ensure these situations are handled appropriately and effectively.
Bottom Line
Our goal is to create safe, life-giving environments in every CedarCreek Group. Students and minors (anyone under 18) generally belong in our vibrant student ministries designed specifically for their age and stage of life. Adult groups are not set up for them, so we have a clear process to handle any registrations from minors.
Why This Matters
Our registration system sometimes allows minors to sign up for adult groups by mistake (or because a family member signed them up). A recent example was a student joining a GriefShare group. While we love that students want to grow in community, adult groups often cover topics, discussions, or dynamics that aren't age-appropriate. This policy helps protect the minor, the group, you as the leader, and the whole church family.
What You Should Be Aware Of
- Minors may not join adult groups without prior review and approval from church leadership.
- In most cases, participation in an adult group is not suitable. Our student ministries offer groups, events, and mentorship built for students.
- Family groups are an exception: If a parent or legal guardian regularly attends the group with their minor, that is usually fine. We still want to make sure you're aware and that everything stays safe and appropriate.
- If a minor shows up without a parent/guardian, or if the content could be heavy (grief, marriage, recovery, etc.), extra care is needed.
If a Minor Signs Up for Your Group
We will reach out to you promptly. You’ll receive a message like this:
“Hello! We’re reaching out because a minor has signed up for your group. In some cases—like family groups where a parent attends with them—that can be okay. We want to make sure you’re aware of our Students in Groups policy and walk through next steps together.”
Here’s what will typically happen next:
- We’ll contact you to confirm you know about the minor’s age and participation.
- Our Campus Student Director will connect with the minor (and their parent/guardian) to talk about age-appropriate options in student ministry.
- Leadership (Groups Director and Student Director) will review whether the adult group is a good fit, looking at the student’s maturity, the group’s topic, and safety for everyone.
- If participation is approved, the minor must be accompanied by a parent or legal guardian at every meeting.
Your Role as a Group Leader
- Stay alert during registration or at the first meeting—if you notice someone who appears to be under 18, let the Groups Director know right away.
- Keep the environment safe and welcoming for all participants.
- Don’t hesitate to ask questions or raise concerns. We’re here to support you.
- If a minor attends without approval or without a parent (when required), we may need to pause their participation until the proper steps are followed.
What Happens If the Policy Can’t Be Followed
Unapproved or unsupported participation by a minor will be paused immediately. If we can’t safely put the right plan in place, the student will be gently moved to a more suitable group in our student ministry.
We’re On the Same Team
This policy isn’t about turning anyone away—it’s about making sure every person, especially our students, lands in the best possible environment to grow in their faith. Thank you for leading your group with care and for partnering with us to keep our church family safe and healthy. If you ever have questions about a registration, a participant’s age, or how to handle a situation, reach out to your Campus Groups Director right away. We’re grateful for your leadership!
